Transformation – The Scouts

An Introduction...

As you will have heard from your County/District Teams and via the Membership Communications, there are some changes ahead as to how we volunteer within The Scouts. These changes will enable even more people to gain Skills for Life with a focus on improving our Volunteer Experience, with changes aiming to make our roles and responsibilities more flexible with less time spent on admin as well as improving how we recruit and retain adult volunteers.

What should you do now?

To ensure that all key elements of Compass data can be migrated to the new digital systems, it is important that Compass is fully updated prior to the Compass freeze. This document provides the necessary information to ensure that Compass data is fully readied for the migration.

We’re a team of friendly faces, keen to support Transformation in your Sections, Groups, Districts and our County to ensure a smooth transition in all areas, allowing local scouting to continue without being impacted.

County Training Weekend – Go-Live Support

The Go-Live Support Team will be available throughout the County Training Weekend being held at Wiltshire Scout Centre on 16th and 17th November. We will also have a specific session focusing on the timeline, what you need to do, and the next steps for our Volunteer Journey.

You can register for the session in the coming weeks on the Training Events page, or come and find us in the foyer if you cannot make the session timings due to a double booking.

Please sign up for the webinars below, these will provide you with a detailed view of what actions you need to take and when. Duplicate webinars have been set up to allow maximum reach, you only need to register for one of them, as all the information will be the same.

Timeline

This timeline highlights some of our key milestones on our journey of transformation. More detailed steps will be added over time where required, with these general markers showing the key steps we are taking towards improving our volunteer experience.

Compass Cleanse

We need to start cleansing (and continue to cleanse) our digital records in Compass to prepare for transition to our new digital system. Every member is responsible for keeping their information up to date on Compass. Please reach out to your local District/County Team if you require support with this.

Teams Based Volunteering

The plans for new teams and relevant tasks should be understood at this point, and you should have a good plan of how your members will move into your new teams. This will be simple at a Group level, and more complex for our District and County Teams.

Prepare for Digital Transition

There will be some vital steps to take at this point to prepare for digital transition. This will include ensuring Compass has been cleansed to the correct level, and confirming all data is in the correct place on the system.

3 Weeks Prior to Go-Live

Compass Freeze

To prepare for a smooth transition and migrate all data correctly and securely, there will be a period of 3 weeks where Compass will be frozen, and access will be removed for all volunteers. Processes will be in place for vital tasks usually completed in Compass, these will be detailed separately.

New Digital Tools

Upon transition to our new digital systems, we will start to use the new membership tools developed by a wide range of staff and volunteer teams who have been working closely with proven suppliers. Our new systems will be mobile friendly and easy to use for all.

Welcome Conversations

We will transition to our new welcoming process from this point, and will start to hold Welcome Conversations with new volunteers in place of our current Appointment Advisory Panels.

Growing Roots Learning

Our new engaging learning platform will become available, and will include the new Growing Roots learning modules, replacing our current Getting Started training modules. Woodbadge training modules will continue to be delivered as they are now with TA validation.
