As an Organisation we have been using Google Suite for many years with great success. As an organisation we now require more than what this platform can offer us and so are in the process of moving to Microsoft 365.

  • Auto-forwarding will be disabled.

We will be implementing Multi-Factor Authentication on your new account.

Multifactor authentication (MFA) adds a layer of protection to the sign-in process. When accessing accounts or apps, users provide additional identity verification, such as scanning a fingerprint or entering a code received by phone.

At the end of December 2023, after a huge amount of background work, our emails will be migrated to Microsoft 365.


Personal Drive Migration
Early January 2024
Moving Google Drive to OneDrive

During January 2024, we'll be moving all our Google Drive content to our OneDrive for Business folders.

Shared Drive Migration
Late January 2024
Moving Shared Drives to SharePoint

In February 2024, after moving personal Google Drives, Shared Drives will be migrated to Microsoft Teams with SharePoint.

What is Microsoft 365?

Microsoft 365 is a software package with tools for work and school. It includes programs like Word, Excel, PowerPoint, and Outlook for emails. It also offers cloud storage, letting you save and access files online. Microsoft 365 helps with collaboration, allowing multiple people to work on documents together. Made available to us for free, it offers regular updates and security features. It’s handy for creating documents, managing emails, and working on projects, making tasks easier and more organized.

What will happen to my emails?

During a Google Workspace (formerly G Suite) to Microsoft 365 migration, emails, contacts, and calendars can be transferred. Email content, such as messages and attachments, gets moved to the Microsoft 365 mailbox. Contacts are typically migrated to the Microsoft 365 address book, ensuring you have access to your saved contacts. Calendars, including events and appointments, can also be transferred to the Microsoft 365 calendar.

What will happen to my documents?

In phase two, we’ll migrate your documents from your Google Drive to your new OneDrive for Business. All Google Docs, Google Sheets and Google Slides will be migrated to Word Documents, Excel Spreadsheets and PowerPoint Presentations. 

Google Forms will not be migrated as there is no direct migration path. Forms can remain active in Google Drive, or can be recreated as Microsoft Forms.

Why are we moving?

While the Google Workspace has served Wiltshire Scouts well for many years, the additional functionality that Microsoft 365 offers will help align with the current Scouts Transformation programme. Helping us to work in Team based structures using amazing tools available to us.

Microsoft 365 offers superior Data Loss Prevention and Anti-Phishing tools, helping us to safeguard our data in a modern world where data is key and we must keep it safe.

Why are you disabling forwarding?

Automatic external email forwarding can be risky because it sends your emails to an outside address without your control. This makes your sensitive information vulnerable to hackers or unintended people. It might lead to privacy breaches, where personal or work-related details land in the wrong hands. Hackers could exploit this to gain access to your accounts or sensitive data, causing trouble. Keeping email forwarding limited to trusted sources helps safeguard your information from falling into the wrong hands and prevents potential security risks.


Forwarders will be considered on a case-by-case basis.

Why do I have to setup Multi-Factor Authentication?

MFA, or Multi-Factor Authentication, is crucial as it adds extra layers of security to protect your accounts. It works like a double lock, needing not just a password but also another proof, like a code from your phone. This stops hackers, even if they know your password. MFA shields against unauthorized access, keeping your personal information, finances, and online stuff safer. It’s like having an extra shield that makes it much harder for bad actors to break in.
